Who we are

Eclipse Digital Media is the data controller for the information described here. Our address is Unit L, Linsford Business Park, Linsford Lane, Mytchett, Surrey, GU16 6DJ. You can reach us at hello@eclipsedigitalmedia.co.uk or on +44 (0)8450 944 954.

What we collect

  • Enquiries, quote requests and consultations: the name, email address, phone number and message you give us, plus what you asked about.
  • Orders: the name, company, email address, phone number, delivery address and items on your order.
  • Basket reminders: if you enter your email at checkout and do not complete the payment, we may email you once to remind you about your basket. Ask us and we will stop.
  • Website visits: an anonymous visit identifier kept in your browser, the page you are viewing, the site you arrived from, and any campaign tag on the link you followed.
  • Staff accounts: the login details of our own team, who use the password protected areas of this site.

Why we use it

  • To answer your enquiry or quote request and to arrange consultations and installations, which is our legitimate interest in responding to you and a step towards a contract.
  • To process and deliver your order, take payment and provide support, which is the contract between us.
  • To send one reminder if a checkout was not completed, which is our legitimate interest in helping you finish an order.
  • To understand which pages are useful, using anonymous page view counts, which is our legitimate interest in running and improving the site.
  • To keep accounting and VAT records, which is a legal obligation.

Payments

Card payments are handled by Stripe and PayPal payments by PayPal. Payment details go directly to those providers and we never see or store your full card number. Their own privacy notices set out how they handle your information.

Cookies and browser storage

We do not use advertising or cross-site tracking cookies, and we do not sell information on.

We use your browser's local storage to keep your basket between visits and to remember an anonymous visit identifier. Neither identifies you personally.

A small number of strictly necessary cookies may be set to keep a staff login session secure.

Who we share it with

  • Stripe and PayPal, to take payment for an order
  • Our hosting and email providers, who run this site and send our emails
  • Couriers, installation partners and manufacturers, where they are needed to deliver, install, service or warranty an order
  • Our accountants and, where the law requires it, the tax authority or other public bodies

How long we keep it

  • Order and VAT records: six years, as HMRC requires
  • Enquiries, quotes and consultations: while we are working with you and afterwards while there is a reason to keep the history
  • Anonymous page view records: while they remain useful for seeing what is working on the site

Your rights

You can ask us for a copy of the information we hold about you, ask us to correct or delete it, ask us to restrict or stop using it, and object to the ways we rely on legitimate interests. Ask us by email and we will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk. We would rather you told us first, so we can put it right.

Keeping it secure

Information is sent over encrypted connections and stored on access controlled systems. Only the team members who need it can see it, and the shop, staff and management areas of this site require a login.

Changes to this policy

If we change how we handle information we update this page, and the date at the top shows when it last changed.

Still have a question?

Email or call us and we will help with the details, whether that is a delivery date, a return or a question about how we handle your information.
